We completely understand that approving fabrics over email can feel overwhelming, especially if you are used to reviewing physical samples before making a decision. In traditional apparel development, it is very common for brands to receive multiple rounds of physical samples and swatches for review and approval. However, the fast fashion production model works a little differently because the entire system is designed to prioritize speed and efficiency.
The core idea behind fast fashion is exactly what the name suggests: it is meant to be fast. This means that once the initial groundwork is completed, the production and approval processes need to move quickly so that brands can launch new product drops without long delays.
Because of this, the major approvals happen during the initial setup stage.
During this first stage of product development, brands do receive physical fabric swatches and garment samples. These samples are sent so that you can carefully evaluate the fabric, understand its texture and quality, and confirm that it meets your expectations. This is the stage where all the foundational decisions are made, including approving the fabric type, GSM, composition, and overall garment construction.
The purpose of sending physical samples at this stage is to ensure that the brand is completely comfortable with the material and product structure before moving into production.
Once this initial setup process is completed, the approved fabric becomes the standard for future manufacturing. This means that all upcoming product drops will continue to use the same fabric specifications that were finalized during the first stage.
At this point, the approval process becomes much simpler. Instead of reviewing new fabric samples every time, the focus shifts mainly to approving new prints, colours, or design variations that will be applied to the already approved fabric.
If physical samples were sent for every single drop, it would significantly slow down the entire process. Each round of sampling would involve production time, packaging, and shipping, which can add several days or even weeks to the timeline. In addition to the delays, repeated sample shipments would also increase costs due to courier charges and handling expenses.
These additional steps would ultimately work against the core objective of fast fashion, which is to launch products quickly and efficiently.
Fast fashion brands typically operate on rapid product cycles, where new designs or variations are introduced frequently. In order to support this model, the approval system has been simplified after the first setup. Once the base fabric and design structure are approved through physical samples, further approvals can be handled digitally.
For future drops, you would receive images of the prints or colour options that are intended to be applied to the previously approved fabric. You can review these references and confirm whether they match your brand’s vision. The approval for these variations is then completed through email communication.
While this method may feel unfamiliar at first, it helps maintain a much faster workflow and allows brands to introduce new styles without unnecessary delays.
If physical samples were required for each drop, the repeated production and courier timelines would slow down the entire development process. Over time, this would make the fast fashion model less practical and remove the advantage of being able to release new designs quickly.
By completing all major approvals during the initial setup stage, the process ensures that both the brand and the manufacturer are aligned on the core product specifications. After that point, the system becomes more streamlined so that new collections and design variations can be introduced without repeating the full approval cycle.
In short, physical samples are absolutely provided during the first setup stage so that you can review the fabric and product details thoroughly. Once this stage is complete and the fabric has been approved, further drops rely on digital approvals for prints and colours in order to keep the process efficient and aligned with the fast fashion model.
